Director of Community Engagement

Position Type: Full-time exempt (40 hours/week)

Vice President of Marketing & Programs

Job Summary
The Director of Community Engagement (Director) plans and executes outreach, engagement, and community relations initiatives that support the Council’s mission to champion, engage and grow the arts and cultural sector in Palm Beach County. The Director plays a leadership role in the organization’s Diversity, Equity, Inclusion, and Accessibility (DEIA) initiatives both internally and externally. The Director also navigates the Council’s role in Arts & Wellness and how this trend fits within the organization’s commitment to the sector. The Director is part of the Council’s leadership team and manages one staff member.

Duties and Responsibilities

This is a new position, and the Director will be responsible for helping shape the priorities and strategies for the department, including developing the annual action plan, setting the goals and milestones, and maintaining the budget and calendar. Initial responsibilities may include:

  • DEIA
    • Spends time in the field to engage new organizations and creative professionals to grow the pool of applicants for the Council’s grant programs and exhibitions.
    • Identifies areas of need in the community and recommends ways to respond.
    • Leads the Council team involved in the Arts & Tourism Summit on DEIA, a two-day conference held bi-annually at the Palm Beach County Convention Center. Secures keynote and workshop speakers, coordinates logistics and marketing support, and serves as a liaison with the other partner organizations.
    • Leads the Arts Administrator of Color Fellowship Program and assists with identifying and engaging a cohort, plans program and activities, and measures outcomes. Note: This program is not currently funded.
    • Actively participates in committees, task forces and/or boards supporting community engagement and/or DEIA on behalf of the Council.
    • Develops, implements, and facilitates Council staff and board DEIA committees.
    • Provides thought leadership on DEIA trends, innovation, best practices, and emerging issues and solutions.
    • Works with the Marketing Department to create communications strategies that raise awareness about underrepresented artist communities or organizations.
    • Assists the Marketing Department with special projects and multi-cultural marketing efforts, such as the Black Cultural Heritage Tour (printed guide and online resource).
    • Works with the Development Department to help craft narratives for grants or donor proposals to support community engagement efforts.
  • Arts in My Backyard (AIMBY)
    • Plans and coordinates the Council’s Family Saturdays series of arts education programs for children and families currently in collaboration with Community Partners.
    • Supports activations and events within the community that fit within the department’s goals and desired outcomes (examples: strategies aligned with Pride Festival, Street Painting Festival, Artigras, pop-up performances, etc.).
    • Supports events and activations inside the Council’s headquarters that fit within the department’s goals and desired outcomes (examples: Culture Talks with Palm Beach Artspaper, ancillary programming during Main Gallery exhibitions, etc.)
    • Manages annual calendar and budget, secures partner organizations, teaching artists and volunteers (as appropriate), orders signage and supplies, monitors attendance, assists in promotion and tracks data to measure success.
    • Maintains relationships with community partners like the Palm Beach County School District, Community Partners, as well as other community engagement staff at cultural organizations, to identify opportunities, make referrals and foster connections.
  • Arts & Wellness
    • Leads the Council’s efforts around Arts & Wellness. This includes identifying and creating a database of creative professionals that work in the field (i.e. art therapists, sound artists, movement specialists, etc.).
    • Interfaces with partners such as the NeuroArts collaborative (Palm Healthcare, FAU, Max Planck Institute).
    • Collaborates with Discover The Palm Beaches and other tourism agencies on initiatives such a new wellness festival at the Palm Beach County Convention Center.
    • Assists the Council in the ideation of using the Project Space as an Art & Wellness Park and facilitating any related programming and activities.
    • Initiates new research projects.

Qualifications and Requirements

Knowledge, Skills, and Abilities

  • At least five (5) years of relevant experience
  • Strong listening and communication skills
  • An understanding that diversity, equity and inclusion are integral parts of effectively executing our work; this position will require ease and familiarity with connecting and relating to people of color and different backgrounds
  • Experience developing and managing people and budgets
  • Valid driver’s license and is comfortable visiting different communities in Palm Beach County
  • Proficiency in Spanish language is preferred
  • Relevant bachelor’s degree preferred

Grants Assistant

Position Type: Non-exempt (30-40 hours/week)
Reports to: 
Director of Grants

Job Summary
The Grants Assistant reports to the Grants Director and is responsible for supporting the day-to-day coordination of the Cultural Council’s grant programs.  The primary area of support will be with reimbursements and contract management. The hours  range from 30-40hours per week. A flexible work schedule with some remote work is available.  This is a non-exempt position.

Duties and Responsibilities

Grant Making and Management

  • Assist with grant application review and processing, trainings and workshops for all phases of the grant process
  • Provide quality customer service and technical assistance to prospective and/or current grantees via telephone, e-mail, meetings, etc.

Application Process:

  • Utilize Grants Department’s online grants system
  • Assist applicants with online process
  • Review applications for completeness and eligibility
  • Assist with the review of applicants’ audits and financial statements for compliance
  • Coordinate panelists with online application review process and grantee interviews

Contract Process:

  • Assist with Cultural Council annual contract process with the Tourist Development Council (TDC) and County
  • Assist in the preparation and processing of grantee contracts
  • Monitor Grantee Contract compliance: reimbursements; Certificates of Insurance; Florida Department of Agriculture Solicitation Licenses; and audit deadlines

Reimbursements:

  • Assist with the review and processing of reimbursement requests
  • Track all reimbursements using Excel
  • Assist with the review and processing of budget amendments

Reporting:

  • Coordinate Interim and Final Reports using online grants system
  • Update Funding History database annually
  • Generate reports as needed

General Grant Assistance:

  • Handle the delivery and receipt of reimbursements between TDC and County
  • Update and maintain grants section on Cultural Council website
  • Assist Grants Director with other grant department duties as assigned

Qualifications and Requirements

Education and/or Experience:

  • Associates Degree and/or a minimum of five years experience working in the nonprofit sector or related field, preferably with a background in art and culture.

Skills and Abilities

  • Ability to handle multiple responsibilities, prioritize effectively and meet deadlines
  • Strong Math and Analytic Skills
  • Background in bookkeeping/finance preferred
  • Ability to provide excellent customer service
  • Effective written and oral communications skills
  • Strong MS Office skills; Word, Excel, Outlook, Power Point
  • Experience in grant management, contract management and reimbursements a plus
  • Foundant Grant software a plus

Marketing Intern

Position Type: Part-time (2-3 days per week, up to 250 hours)
Schedule: 8:30 a.m. to 5 p.m.

Compensation: $11/hour

Job Summary
The Marketing Intern is a part-time, hourly position. Candidates must have superior communication skills and the ability to work effectively within a team. The environment is fast-paced and requires someone who can multi-task and meet deadlines while maintaining high quality standards. The position offers flexible hours and the opportunity to work with Palm Beach County’s vibrant cultural sector.

Learning Goal
This internship is designed to give currently enrolled college students or recent college graduates the opportunity to work within a professional marketing team to gain real-world experience. By the end of the internship, the intern can expect to add one or more of the following to their portfolio of work: B2C advertising (print, radio and digital), special events and public relations, social media posts, visual samples (photography/videography), and writing samples.
