Director of Philanthropy

Reports to: President & CEO

POSITION OBJECTIVE

The Director of Philanthropy is a full-time, salaried position responsible for developing and implementing strategies for the cultivation, solicitation, and stewardship of major donors for the Cultural Council for Palm Beach County. The position will also focus on donor retention strategies and growth of gifts by existing donors. The Director of Philanthropy works independently and as a member of the Development team working with the CEO, Vice President, CFO, and Director of Membership and Annual Giving to create and implement yearly strategic development plans focused on enhancing and expanding donor relationships, corporate solicitations, and major gift procurement.

PRINCIPLE RESPONSIBILITIES

  • Maintain fast-paced schedule of face-to-face visits to steward current donors and to engage new major donor prospects.
  • Conduct prospect cultivation, directly and in cooperation with executive leadership team, other staff and board members.
  • Manage stewardship strategy and activity and report on progress monthly.
  • Write individualized cultivation, solicitation and stewardship letters, proposals and reports.
  • Manage major donor and estate planning mailings.
  • Coordinate major donor cultivation events including exclusive cocktail parties, small dinners, and other cultivation activities.
  • Manage major donor communications.
  • Support and help lead the board Development Committee to leverage board member engagement in fundraising activities.
  • Serve as a key staff member for campaigns and other major gift funding initiatives.

REQUIRED SKILLS

The successful candidate will be interested in supporting the mission, vision and brand of the Cultural Council for Palm Beach County. The successful candidate will have drive and ambition, excellent analytical and oral communication skills, extensive technology knowledge and expertise including Raisers Edge, and be someone who thrives in an especially creative and fun environment.

    The ideal candidates will possess:

  • At least 5 years of successful fundraising and direct-solicitation experience.
  • Proven track record of fundraising success.
  • Ties to, contacts with, the cultural community.
  • Ability to engage in significant travel throughout the county to attend meetings, solicitations, events, performances, and other donor-related functions both during daytime hours as well as evenings when required.
  • Exceptional interpersonal, verbal, and written communication skills.

Artist Services Coordinator

Position Type: Part-time (16 to 24 hours a week)
Reports to: Vice President

JOB SUMMARY

The Artist Services Coordinator is a part-time, hourly position. The Coordinator plans, curates, manages, and installs / deinstalls exhibitions in our solo and north galleries. Additionally, the Coordinator maintains department files and archives, serves as the primary contact for professional visual artists in Palm Beach County and as a member of the Council’s Artist Resources Team (ART). The position offers flexible hours and the opportunity to work with Palm Beach County’s vibrant cultural sector.

DUTIES AND RESPONSIBILITIES

    Programming and Process:

  • Curates and coordinates installation of all solo and north gallery exhibitions
  • Implements and manages any corresponding programming such as lectures, openings, book signings, etc.
  • Solicits and secures future exhibitions in the solo and north galleries to maintain an annual calendar of programming
  • Oversees Project Space installations
  • Provides and coordinates gallery tours with potential collectors and groups with the objective to sell artwork

QUALIFICATIONS AND REQUIREMENTS

    Education and Experience:

  • Strong visual art background including three to five years’ work experience in a museum or gallery desired
  • Relevant bachelor’s degree preferred
    Skills and Abilities:

  • MS Office, Photoshop
  • Knowledge of museum standards and practices
  • The ability to establish and maintain effective working relationships with colleagues and others
  • Strong focus on accuracy and efficiency
  • Organizational skills that benefit the entire Artist Services department

Grants Assistant

The Grants Assistant reports to the Grants Manager and is responsible for supporting the day-to-day coordination of the Cultural Council’s grant programs. This is a part-time position (15-20hrs).

SUMMARY OF DUTIES AND RESPONSIBILITIES

    Grant Making and Management:

  • Assist with grant application review and processing, trainings and workshops for all phases of grant process
  • Provide quality customer service and technical assistance to prospective and/or current grantees via telephone, e-mail, meetings, etc.
    Application Process:

  • Utilize Grants Department’s online grants system
  • Assist applicants with online process
  • Review applications for completeness and eligibility
  • Assist with the review of applicants’ audits and financial statements for compliance
  • Coordinate panelists with online application review process and grantee interviews
    Contract Process:

  • Assist with Cultural Council annual contract process with TDC and County
  • Assist in the preparation and processing of grantee contracts
  • Monitor Grantee Contract compliance: reimbursements; Certificates of Insurance; Florida Department of Agriculture Solicitation Licenses; and audit deadlines
    Reimbursements:

  • Assist with the review and processing of reimbursement requests
  • Track all reimbursements using Excel
  • Assist with the review and processing of budget amendments
    Reporting:

  • Coordinate Interim and Final Reports using online grants system
  • Update Funding History database annually
  • Generate reports as needed
    General Grant Assistance:

  • Handle the delivery and pick-up of reimbursements between TDC and County
  • Update and maintain grants section on Cultural Council website
  • Assist Grants Manager with other grant department duties as assigned

QUALIFICATIONS AND REQUIREMENTS

    Education and/or Experience:

  • Associates Degree and/or a minimum of five years experience working in the nonprofit sector or related field, preferably with a background in art and culture.
    Skills and Abilities:

  • Ability to handle multiple responsibilities, prioritize effectively and meet deadlines
  • Strong Math and Analytic Skills
  • Background in bookkeeping/finance preferred
  • Ability to provide excellent customer service
  • Effective written and oral communications skills
  • Strong MS Office skills; Word, Excel, Outlook, Power Point
  • Foundant Grant software a plus

Volunteers

The Cultural Council for Palm Beach County is happy to accept applications for volunteers to assist 4-6 hours per week greeting guests in the lobby, monitoring the gallery and gift shop and some light administrative work. Ideally, the volunteer can make a commitment to work the same afternoon each week and has some prior “customer service” experience. Please contact Helen Hood at hhood@palmbeachculture.com.
